1. Acceptance of Terms
By accessing and using Camp Check-In (“the Service”), you agree to be bound by these Terms of Service. If you do not agree, please do not use the Service.
2. Description of Service
Camp Check-In is a web-based application that helps sports camps and leagues manage participant check-in through QR codes and manual attendance tracking. The Service is currently in Beta.
3. Beta Disclaimer
This Service is provided as a Beta release, offered “as is” without warranty of any kind. We do not guarantee uptime, data persistence, or feature availability during the Beta period. Please maintain your own records as a backup.
4. User Accounts
You are responsible for maintaining the security of your account, all activities that occur under your account, the accuracy of data you enter, and ensuring you have permission to store participant information.
5. Acceptable Use
You agree not to use the Service for any unlawful purpose, upload malicious content, attempt to gain unauthorized access to other users' data, interfere with the Service, or collect personal information without appropriate consent.
6. Data Ownership
You retain ownership of all data you enter, including camp configurations, rosters, and check-in records.
7. QR Code Check-In
The QR code self-check-in feature allows participants to check in without creating an account. By sharing a QR code, you acknowledge that anyone with access to it can view the session roster. Distribute QR codes only to intended participants.
8. Service Availability
We strive for high availability but do not guarantee uninterrupted access, especially during the Beta period. We reserve the right to modify, suspend, or discontinue any part of the Service at any time.
9. Limitation of Liability
To the maximum extent permitted by law, Camp Check-In and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages resulting from your use of the Service.
10. Registration Payments & Refunds
Camp Check-In facilitates registration payments between registrants and camp organizers via Stripe. All payments are processed securely. Refund requests must be directed to the camp organizer who collected payment. Camp Check-In does not issue refunds on behalf of organizers. The platform fee (collected by Camp Check-In) is non-refundable.
11. Pro Subscriptions
Automatic renewal. Camp Check-In Pro is an optional paid subscription costing $29.00 USD per month. It renews automatically each month and your payment method is charged the same amount on each renewal date until you cancel. There is no minimum term and no cancellation fee.
How to cancel. You may cancel at any time from Settings → Your Plan → Manage billing in your Camp Check-In account, which opens the Stripe billing portal. You may also cancel by emailing team@campcheckin.com. Cancellation takes effect at the end of your current billing period: you keep Pro features until that date, and you are not charged again.
Refunds. Subscription payments are non-refundable, including for partial months. Because you can cancel at any time and retain access through the period you have already paid for, we do not issue prorated refunds for unused time. If you believe you were charged in error, contact team@campcheckin.com and we will review it.
Failed payments. If a renewal payment fails, Stripe will retry it over several days. Your Pro features remain active during this period. If payment ultimately cannot be collected, the subscription is cancelled and your account reverts to the free plan. Your data is not deleted.
Price changes. We may change the subscription price. If we do, we will notify you by email at least 30 days before the change takes effect, and the new price will apply from your next renewal. You may cancel before then if you do not wish to continue.
What happens when Pro ends. Your account reverts to the free plan. Camps, sessions, rosters, registrations, waivers, and check-in history are retained and remain accessible. Pro-only features become unavailable until you resubscribe.
12. Account Cancellation
Organizers may cancel or close registration for a camp listing at any time. Registrants seeking refunds for cancelled camps must contact the camp organizer directly. Camp Check-In accounts may be cancelled at any time from the Account settings page. Data will be retained for 90 days following an account deletion request before permanent removal.
13. Disputes
Payment disputes related to camp registrations should first be resolved directly between the registrant and the camp organizer. If you are unable to resolve a dispute, contact us at team@campcheckin.com and we will do our best to assist.
14. Advertising & Sponsored Content
Camp Check-In reserves the right to display advertisements, sponsored content, or promotional material within the Service, including on public program pages and in communications sent through the platform. We will not sell, rent, or share your personal information or participant data with advertisers, and we do not use participant data to target advertising. Any advertising will be contextual or platform-wide rather than based on individual participant records.
15. Changes to Terms
We reserve the right to modify these Terms at any time. Continued use of the Service after changes constitutes acceptance of the updated Terms.
